In this guide we will show you a couple of quick and easy ways to reduce your email accounts disk space usage, so that you can keep on-top of your accounts designated quota limits.
Email Disk Usage Tool
The first method to reduce your email disk space usage, is to use cPanel's "Email Disk Usage" tool. So, log in to cPanel and head to the "Email Disk Usage" tab, as show in the image below:
Once you're on the "Email Disk Usage" page, you will be able to filter by email account within your cPanel account. Now, select the email account you wish to reduce the disk space usage on, as shown here:
Now that you have selected the email account you wish to reduce the disk space usage size of, you will be presented with a list of all the the emails on that account, sorted by their mailbox's. You will want to instead sort this by "Disk Usage" so that you can see what is currently taking up the most disk space on the email account, as shown here:
Now that you're sorting the email account by its largest disk usage directory, you can start the process of reducing the used disk space. First, you will want to click on the "Manage" button next to the directory you wish to reduce the size of, this will show you a dropdown box, as shown here:
This field will allow you to select a method as to which emails on the account will be deleted permanently. The default method, "1 year old or more" should be sufficient for reducing your disk space back down to its quota.
When you're happy with your method selection all you have to do is click the "Delete Permanently" button to permanently remove emails from the account. If however, this is still not enough, you can instead try the "30MB in size or more" method to further reduce the accounts disk space usage.
And that's it for the "Disk Space Usage" tool.
RoundCube
The 2nd method of reducing your emails disk space usage is to delete your emails via Roundcube Webmail, you can access Roundcube either by your cPanel interface, or by using your domains name followed by /webmail in your internet browsers URL bar. e.g: yourdomain.com/webmail
Once you're logged into Roundcube you will want to press the "Options" button at the middle-top of the page, as seen here:
Once you're on the option page you will want to select the "Sorting Column" tab and sort it by "Size", as shown here:
Once you have selected "Size" click on the "Save" button at the bottom of the box. All your emails will now be sorted by their size, with the largest emails being at the top of the list, descending into smaller sized emails as you go down the list.
Now you're sorting your emails by size, you can select the largest emails you no longer require and click the "Delete" button at the top-right of the page. This will send the selected email to your "Trash" folder, simply delete the email from here to permanently remove it from your account, as shown here:
